Firefly Sisterhood Privacy and Security Policy 

The mission of Firefly Sisterhood is to foster one to one connections that are local and personal between women newly diagnosed with breast cancer and those already on the journey. Our services include:

  • The Firefly Sisterhood One to One One-to-One program (“One-to-One program”) which helps women who are newly diagnosed connect with volunteers who are breast cancer survivors;
  • services and tools to enable community based small group meetings;
  • educational webinars; and Firefly Sisterhood events.

This Privacy and Security Policy (“Policy”) applies to Firefly Sisterhood’s collection and use of personal information and non-personal information that Firefly Sisterhood (“FFS”, “we” “us” or “our”) may obtain when you contact us, visit our web-site or use our services. In this Policy, we sometimes refer to individuals who visit our website or use our services as “you” and “your”. We refer to the newly diagnosed who participate in our One-to-One program as “a newly diagnosed Sister” or “a NDS”, and to breast cancer survivors who serve as guides in the One-to-One program as “Guides”.

By visiting our web-site or using our services, you consent to the information practices described in this policy. If you participate in the One-to-One program services this policy is incorporated into the Terms for those services.

Information We Collect

We collect personal information to provide our services as well as some non-personal information about visitors to our web-site. We use the term “personal information” to mean information that can be used to determine, distinguish or trace an individual‘s identity, such as name, e-mail address, address, phone number, social security number, age, and (2) any other information that is linked or linkable to an individual, such as medical and employment information. We collect personal and non-personal information in the following ways:

Personal information you give us: To participate in our One-to-One program, webinar and event services, we require that you apply or register on our web-site. When you do, we request personal information like your name, e-mail address, mailing address and phone number. If you sign up for our One-to-One program, to help us determine if you can participate and pair you with a NDS or Guide, we request additional personal information including but not limited to, confirming your age and that you are over 21, confirming that you have been diagnosed with or are a survivor of breast cancer, stage of breast cancer, marital status, and the number and ages of any children. Firefly Sisterhood has the discretion not to allow a NDS or Guide that has certain criminal convictions to participate in the Program. Accordingly, when you apply for our Guide Services we also ask you whether you have been convicted of breaking and entering, fraud, theft, abuse of a child, spouse or vulnerable adult, a crime involving violence, including rape, sexual assault, or homicide; or a felony drug-related offense. If you answer yes, we ask you if you will agree to a background check.

We may also collect feedback, including personally identifying information, from Program participants and others who apply for or use FFS services to help us improve and tailor our services and marketing to meet your needs.

Personal Background Information: When you apply to participate in our One-to-One program, we ask whether you have been convicted of breaking and entering, fraud, theft, abuse of a child, spouse or vulnerable adult, a crime involving violence, including rape, sexual assault, or homicide; or a felony drug-related offense. If you answer yes, with your prior consent, we will perform or engage a third party provider to perform a background check and will use the background check results and additional information that we may request from you to determine whether we can accept you in the One-to-One program. Firefly Sisterhood has the discretion not to allow an applicant for the One-to-One program who has a criminal conviction to participate in the Program.

Non-personal Information: We may also collect information or data in a form that does not by itself permit us to associate it with any specific individual, which we treat as “non-personal information” in this Policy. For example, we may collect information regarding visitors to our website to help us provide more useful information to visitors and Firefly Sisters, and to understand which parts of our website and services are of most interest.

Cookies and Other Technologies

 When you visit our site, we use “cookies” and other technologies to collect data that allows us to understand and improve the usability of our website. Cookies are files sent to your browser and stored on your computer. If you do not want us to send cookies to your browser, you can use your browser options to reject cookies or notify you when a website tries to put cookies into your browser. If you reject cookies, there may be features of our website and services provided on our site that you cannot use.

 How We Use the Information We Collect

We use the personal information we collect when you apply for or use our services, only to administer and provide our services. We will not sell, disclose or rent the personal information we collect to any third party for their use in marketing or selling their own products or services.

When we help a NDS and Guide connect so they can participate in our One-to-One program, we provide each of them personal information about the other that we collected from their applications for those services. Before doing so, we require that both the NDS and Guide accept and agree to abide by our One-to-One program Terms, Program Guidelines, and this Policy. Our Program guidelines require that a NDS and Guide only use the personal identifying information we share to carry out the NDS and Guide relationship, and agree to protect the privacy, confidentiality, and security of personal information about the other as a condition of participating in the Program.

Newly diagnosed Sisters and Guides may decide to share personal information with one another beyond what they provided to us. They do so at their own discretion and risk and not as our agents. We do not collect or maintain information that newly diagnosed Sisters and Guides share with each other while participating in our One-to-One program.

Disclosure to Third Parties

We use third party vendors and service providers to assist us in various ways, including maintaining our web-site, processing application and registration information, and maintaining the information we collect from those who participate in our One-to-One program or use our other services. We protect the confidentiality, privacy and security of personally identifying information about our Program participants and other users of our services by requiring that our vendors and service providers agree to protect the confidentiality, privacy, and security of participants’ information.

It may be necessary for Firefly Sisterhood to disclose your personal information if we determine that disclosure is required by law, legal process or litigation. We may disclose your personal information, if we deem it necessary in order to comply with a legal obligation, enforce the Terms of our Program, or to protect our rights or the rights of a Program participant.

Security Measures We Use to Protect Personal information

We take your right to privacy and the security of your personal information very seriously. We take reasonable measures to safeguard and protect your personal information from unauthorized access. These measures include computer safeguards and secured files and buildings. Firefly Sisterhood uses Secure Socket Layers (SSL) encryption to protect personal information that you transmit to us in the application on our website. We use reasonable security measures to protect personal and non-personal information that we maintain on servers, including technology, physical, and administrative security measures to limit access and use to authorized persons, and prevent an intruder from obtaining the information.

Regarding Children, Teens and Individuals Under Age 21

Firefly Sisterhood is very concerned about protecting the privacy of children and teens. We do not intend to collect any personal information from anyone under age 16. Children and teens under 16 are not permitted to use our website. If a parent or guardian learns that a child under 16 has provided Firefly Sisterhood with personal information, the parent or guardian of that child should contact us immediately to delete this information from our files.

Individuals under Age 21 are not eligible to participate in our One-to-One program, but individuals between ages 16 and 21 who have been diagnosed with breast cancer are eligible to use our other services such as webinars.

Your Opt-Out Choice

Firefly Sisterhood may from time to time send you promotional information about our services that we think you may find to be of interest. If you wish to opt-out of receiving promotional mailings or e-mail communications from us, you may do so by clicking on the [appropriate link] in our e-mail communications to you or by e-mailing your request to Firefly Sisterhood at unsubscribe@fireflysisterhood.org. Please note that opting out of receiving promotional mailings or email will not affect your receipt of service-related, transactional, or legal communication via mail or e-mail in accordance with the Terms.
